Enhancement Summary
State Street is requesting a simplification of the content authoring and review workflow by reducing the number of manual completion actions required for contributors. The current workflow requires users to manage both question-level toggles and section-level completion actions, creating confusion, leaving completed work on users' My Work pages, and resulting in incomplete tasks despite users believing they have finished their work.
Requested Enhancement
Revise the authoring and review workflow so that question-level completion toggles serve as the authoritative completion action for contributors, eliminating dependency on section-level completion buttons.
Specifically:
- When the Answered toggle is enabled, automatically mark the author's task as complete and immediately remove that task from the author's My Work page.
- When the Reviewed toggle is enabled, automatically mark the reviewer's task as complete and immediately remove that task from the reviewer's My Work page.
- Eliminate contributor reliance on the section-level Submit Section for Review and Complete Review buttons for task completion. These actions should remain optional for project managers or primary contacts managing overall section progression, but should not determine whether individual contributor tasks are complete.
Additional Requested Behavior
- Once the Answered toggle is enabled, the answer should become read-only (grayed out) for the author while remaining editable by the assigned reviewer.
- Once the Reviewed toggle is enabled, the answer should immediately become fully locked and grayed out without waiting for the entire section to be completed.
- Reviewers should not have permission to uncheck or modify the Answered toggle. Authors remain responsible for indicating when an answer has been completed, while reviewers are responsible only for the review state.
Business Justification
The current workflow creates unnecessary complexity by requiring contributors to complete multiple actions for a single task. Users frequently complete their question-level work but overlook section-level completion buttons, causing completed work to remain on My Work and Daily Task reports, generating confusion and additional support inquiries. State Street's SMEs and content owners expect task completion to be driven by the question-level toggles they interact with most frequently. Simplifying the workflow would improve adoption, reduce user error, decrease training needs, and provide a more intuitive task completion experience while allowing project managers to continue managing section-level workflow independently
