I’m submitting this enhancement idea on behalf of our strategic client Optum and the Optum Insight BU.
Overview
• Optum Insight project managers typically begin a new Response Project by importing the project and adding the applicable Team Members through the “Team” window.
• Once Team Members are assigned, Project Managers assign Authors and Reviewers across project sections through Response Projects > Sections > Author & Reviewer Assignments.
• Optum has hundreds of users, making it important to surface the users most relevant to the current Response Project during Author and Reviewer assignment.
• Since assigned Team Members are frequently the same users who will serve as Authors and Reviewers, Optum would like those Team Members to be readily available for selection.
Current Challenge
• When a Project Manager goes to assign authors or reviewers to a section, unfortunately, all users are presented alphabetically rather than prioritizing Team Members already assigned to the Response Project.
• With hundreds of Optum users, Project Managers must remember who was assigned to the project, scroll through a long list of names, or manually type a user’s name.
• The existing “Help me choose authors” functionality does not surface the current project’s Team Members by default and is unrelated to existing Team Member assignments.
• This creates unnecessary administrative effort and does not leverage project specific Team Member information that has already been established.
Proposed Enhancement
• When selecting “Add Authors”, “Add Reviewers”, “Add Authors and Teams” or “Add Reviewers and Teams,” automatically surface Team Members assigned to the current Response Project at the top of the selection list.• Visually distinguish current project Team Members, such as through a different highlight color, so Project Managers can immediately identify them.
• Continue to provide access to all other users so that Authors or Reviewers who are not currently assigned as Team Members can still be selected when needed.
• Consider providing an additional option such as “Choose authors from list of Team Members” and an equivalent option for Reviewers.• Alternatively, when a user clicks into the Author or Reviewer assignment field, present an initial picklist containing the current project Team Members before displaying the broader user population.• Apply the same Team Member prioritization experience consistently to both Author and Reviewer assignments.
Expected Impact
• Reduces the time required to assign Authors and Reviewers, particularly for enterprise clients with hundreds of users.
• Eliminates unnecessary searching, scrolling, manual entry, and reliance on Project Managers remembering previously assigned Team Members.
• Leverages existing Response Project Team assignments to create a more intuitive and context aware assignment workflow.
• Preserves assignment flexibility by allowing users outside the current project Team to still be selected when necessary.
