Enhancement Request
Expand Queue and Notify Later so that assigning an SME/reviewer does not immediately expose the task to that person in Responsive. The assignment should remain queued until the proposal manager explicitly releases/sends it.
Current Behavior
“Queue and Notify Later” can delay the notification, but once an SME is assigned to a question, the assignment itself is immediately visible to that SME in Responsive, including through My Work. As SMEs become more accustomed to proactively checking My Work rather than waiting for email notifications, they can begin reviewing questions before the proposal manager intends to release the work.
The current workaround is to avoid assigning SMEs during pre-fill and then revisit the questionnaire afterward to assign everyone. The team specifically called out that this results in duplicate effort.
Desired Behavior
When Queue and Notify Later is selected:
- The reviewer/SME assignment can be configured and saved by the proposal manager.
- The queued assignment should not yet appear as actionable work for the assignee, including on My Work.
- The assignee should not receive notifications about the assignment.
- When the proposal manager explicitly sends/releases the queued assignments, both the assignment visibility and associated notification should become active.
In other words, “Queue and Notify Later” should queue the task/assignment itself, not only its notification.
Business Need / Use Case
Proposal managers often identify the appropriate SME while pre-filling an RFP, but they are not yet ready for that SME to begin work. Being able to assign reviewers during pre-fill is much more efficient than having to revisit every question later.
At the same time, Responsive encourages SMEs to use My Work as the reliable source for their outstanding tasks. Showing unreleased assignments there creates confusion and undermines trust in that view. Holding both the assignment and notification until explicitly released would allow proposal managers to prepare assignments efficiently while giving SMEs a clear, accurate view of work that is genuinely ready for them.
