Does anyone have a method for checking for duplicated documents? Deduplication tool only works for Q&A pairs, so we're struggling with keeping up with different document versions.
Hi @JBilby, thanks for posting your question in the community, and apologies for the delay in getting back to you.
You’re correct that the deduplication tool currently applies to Q&A pairs rather than documents in the Content Library. To help identify potential duplicate documents, one approach is to use the search bar within the Documents section to filter by keywords related to the document type (for example, “data sheet,” “security overview,” etc.). This can help surface multiple versions of similar documents so you can review them and consolidate where appropriate. You can also try using smart search.
Going forward, using document versioning can help prevent duplicates from building up in the library. Instead of uploading a new document each time, you can upload updated files as a new version of the existing document. You can review the Managing Document Versions section in this help article for more details.
For quick reference, here are the steps to manage document versions:
This workflow helps keep all versions tied to a single document in the library rather than creating separate entries.
If others in the community have found additional ways to manage or audit document versions at scale, feel free to share here as well — it’s always helpful to see how different teams approach this. I am also tagging in @Michael McDaniel, your Customer Success Manager.
