Per Manjula Gnanaguruswamy's request, I’m submitting this enhancement idea on behalf of our strategic client Optum.
Overview
When users apply responses from the Recommendations pane in Projects, all attachments associated with the selected Q&A pair are automatically added to the project response.
While this behavior is intended to streamline response completion, it creates risk and inefficiency when attachments are not relevant to the specific question, client type, or proposal scope.
Current Challenge
- Applying a response from the Recommendations pane automatically attaches all exhibits linked to the Q&A pair.
- Users are not always aware that attachments have been added, increasing the risk of unintentionally sharing irrelevant or inappropriate documents.
- The only way to remove unwanted attachments is to manually delete each file, which is time-consuming, especially in complex Content Libraries with many attachments.
- There is no “undo” option once attachments are added.
- This issue is particularly problematic in scenarios such as:
- Q&A pairs with multiple response headers, where attachments apply to only one response variant.
- Q&A pairs that include attachments relevant only to specific client types or business units.
- Q&A pairs where attachments support only one alternate question, but the response text is still applicable without the exhibit.
Proposed Enhancement
- Introduce a user prompt when applying a Q&A pair that includes attachments.
- The prompt should:
- Notify the user that attachments are associated with the selected Q&A pair.
- Allow users to include or exclude attachments entirely.
- Provide the ability to select individual files to attach, rather than attaching all exhibits by default.
- Ensure this prompt appears before attachments are added to the project response.
Expected Impact
- Reduces the risk of accidentally including irrelevant or inappropriate exhibits in proposals.
- Saves significant time by eliminating the need for manual attachment cleanup.
- Improves user awareness and confidence when applying responses from the Content Library.
- Enhances overall usability of Projects, particularly for teams managing large and complex libraries.
Examples:
Example #1 -
When CID10248 is applied to this question, all Q&A pair exhibits are attached to the question. Even if the response is not marked as answer/saved, the only way to remove those attachments is to delete them individually, which is unnecessarily time consuming.
Example #2 -
CID10743 includes two response headers (Response and UHC Response). It also includes multiple attachments with alert text that the attached files only apply to Optum Rx, and not UHC.
When applying the UHC response, the files are attached to the question and have to be manually deleted.
Example #3 -
CID10562 includes multiple alternate questions, one of which requests a copy of our organizational chart. However, in this example, we would use this Q&A pair to respond but we would not include the org chart. When the response is applied, the attachment is automatically added to the response. There is not an “undo” button when attachments are added.
