I’m submitting this enhancement request on behalf of our strategic customer Deloitte.
Problem Summary
Currently, Responsive only allows content owners to “Share” one Q&A pair or Document at a time with a Guest user (i.e., a user without a Responsive account). This limitation presents several challenges for enterprise clients like Deloitte:
• Inefficiency: Sharing content one item with Guests at a time is highly time-consuming and repetitive, especially when multiple pieces of content need review.
• Email Overload: Guests receive separate email notifications for each individual piece of content, rather than a consolidated notification, which can lead to confusion or missed items.
• Scalability: For large organizations, it's not always feasible to train all SMEs or reviewers in the Responsive platform. There are frequent scenarios where a collection of content needs to be reviewed by internal or external stakeholders without Responsive accounts.
Use Case
Deloitte content owners often need to send multiple Q&A pairs or Documents from the Content Library to Guest users (internal or external) for review. The current one-by-one sharing requirement makes this process inefficient and unsustainable at scale.
Proposed Enhancement
We propose enhancing the “Share” functionality within the Content Library to support bulk sharing of content with Guest users:
- Bulk Selection: Enable users to select multiple Q&A pairs and/or Documents at once.
- Single Share Action: Allow a single “Share” action to apply to all selected items.
- Consolidated Notification: Send Guests a single email notification with a link that provides access to all shared content.
- Tracking & Visibility: Ensure content owners can still track Guest interactions and responses per item, even if shared in bulk.
Expected Impact
• Improves Efficiency: Streamlines the process for content owners managing large volumes of content reviews.
• Enhances Guest Experience: Reduces email clutter and simplifies access to review materials.
• Supports Enterprise Scale: Makes Responsive more usable for enterprise clients who rely on external reviewers and SMEs.
