RFPIO SME Content Review

Hello, I am in the process of a large content library audit. Some SMEs do not mind updating content in the RFPIO system, however, there are SMEs who would prefer actual hard copies to review to understand the scope. What have been efficient workarounds or approaches for SME review for those who do not wish to review in the system directly?

@Smishler10075 - I have the same challenge! Within the Content Library, you can select the content you want and use the Tools icon to export Q&A Pairs.

@Smishler10075 - Same challenge here. SMEs who work in RFPIO have quick visibility to duplicates, activity history, comments, metadata, etc. One team prefers to work offline. I sent 1 export of their Q&A pairs, which they divided among themselves, and then returned to me 3 files in different formats. I sorted through the info, updated RFPIO, and decided to send the revised versions back out via On Demand review for a final check. The activity history reflects my name, not the person who actually provide the edits. Lots of room for error with this approach.

We are also in the midst of a content audit. Would you be interested in a call to compare notes on what has worked the best? Maybe we can both improve our processes.

I would be curious to understand what the SMEs mean by scope - as they are able to track their workload in RFPIO. I have a coffee chat planned on SME adoption that I will be announcing soon as well!

I have the same challenge here as well and my company is a global company. We've got the additional challenge of English not being everyone's first language. That has created some apprehension on the part of SME's to update RFPIO directly. We're also a HEAVY Slack shop.

I've found the Slack integration to be wildly successful at getting content updates/reviews from SME's. They feel more comfortable leaving feedback or making updates in the comments via Slack rather than updating the Q&A pair itself. Then I can go back and tweak anything that may need a 'Business English' assist. They also feel more comfortable @mentioning someone in comments if they need to phone a friend, so to speak, on the update.

So far, I'm not giving my content owners/SMEs the option. In tool only. However, I do tout the benefits and ease of doing it there instead. I'm not doing automated reviews though - just on demand reviews in small segments. I reach out to each owner and fully engage/train them - and monitor their progress.

This is not best practice, but when appropriate, I will send the onesie review via email to those not onboarded to our Content Ownership process. Once I receive the edits back, I take the opportunity to open the floor for how edits are done in RFPIO including a quick 30 second video and try to recruit for future reviews. I cannot say it works every time, but when it does work, it really works! Having a real life (and real recent ;) ) example tends to really help get people interested.

I have not given my SMEs the choice to manage reviews outside of the tool and instead set up a call and walk them through the process in a live environment allowing them to see how easy it actually is. We always get the usual pushback but i think the education is important, i have also created a playbook with step by step guides to help the SME community.

Most of my SMEs/content owners prefer a Google Sheet for collaboration. So, I export the selected category of content into an Excel file and convert it to Google Sheet. For those who use the in-tool option, they love it. For those who do not, I pull the pairs being reviewed into the OnDemand Review Queue, so that no one edits them before the review comes back. It works fine. However, if I end up having to cancel a review, that causes problems because while you can SEND Q&A pairs in bulk to OnDemand Review - you cannot cancel them in bulk, so I end up having to manually cancel the review on each pair individually. That is a pain.
