I’m submitting this enhancement idea on behalf of my strategic client, Optum.
Overview
Optum relies heavily on standardized DDQs and recurring questionnaires that evolve over time with new questions added each quarter or year. While Responsive’s Project Template functionality supports reuse of existing Q&As, there is currently no way to update an existing Project Template with newly introduced questions and answers from a project. This limitation prevents Optum from leveraging our Project Template fnctionality.
Current Challenge
- When creating a new project from an existing Project Template:
- New questions not originally part of the Project Template can still appear in the project if they fall under an existing section.
- Users can answer these new questions within the project.
- However, there is no way to save these new Q&A pairs back to the existing Project Template for future reuse.
- Creating a new Project Template from the updated project is not a viable solution because:
- If the new project does not include all original questions, those questions are lost in the new Project Template.
- Templates continue to rely on the original source file structure, not manual updates made within the Project Template.
- Even manually adding questions to a Project Template does not persist, as future projects reference the original source file rather than updated Project Template content.
- This creates significant inefficiencies:
- Users must repeatedly search for and answer the same new questions across projects.
- Responses are not retained or reused through the Project Template.
- Teams are forced to recreate Project Tmplates frequently, risking loss of previously established content.
- Optum receives recurring DDQs where:
- New questions are periodically introduced.
- Different clients may include only subsets of these standardized questions.
- Without the ability to maintain and evolve a single master template, Project Templates are not sustainable for Optum’s workflow.
Proposed Enhancement
- Enable the ability to update an existing Project Template with new Q&A pairs captured in a project.
- Allow users to:
- Select newly added questions and their responses from a project.
- Save or sync those Q&A pairs back to the original Project Template.
- Ensure that future projects created from the updated Project Template include:
- Both original Q&A pairs and newly added ones.
- Decouple Project Templates from strict dependency on the original source file, allowing templates to evolve over time.
Expected Impact
- Enables Optum to maintain a single, evolving master Project Template for standardized DDQs.
- Eliminates repetitive work by ensuring new questions and answers are retained for future use.
- Improves efficiency and scalability for teams managing recurring, dynamic questionnaires.
- Increases adoption of Project Templates by aligning functionality with real-world client workflows.
- Prevents content loss and reduces the need to recreate templates from scratch.
