Start with the low hanging fruit and consider what data is already available!

Clarify what constitutes a “loss” (project vs. RFP stage) when reporting.
Track not only win/loss but also advancement rate (how often opportunities advance in stage after the RFP).
Use Advance-to-Finalist (ATF) as a success metric for proposal teams instead of just win/loss.
Measure proposal volume based on all stages (intake, active, wrap-up), not just due dates, to better reflect workload.
Report on the value of the tool (e.g., time to draft, content library usefulness, self-service ability).
Create newsletters that capture reporting updates and track engagement (opens, time spent reading).
Include key reporting metrics such as:
- Number of submissions
- Number of wins
- Win rate
- Total dollars awarded
- Pipeline value and stages
- Industry segmentation
- Time saved / efficiency gains
- Effort level and hours saved
Knockout rates at each RFx stage (by service, sector, geography)
Report on metrics at both country/affiliate and global levels.
Track strategic pipeline (high-value or scalable opportunities) separately.
Tie reporting back to revenue impact to show organizational value.
For portals without export options, use “Print to PDF” to capture full records.
Standardize responses to user questions with triage language in an SOP and track answered Qs as another value metric.
Provide dashboards/KPIs for team workload and capacity tracking.
When sharing templates, ensure the latest version is accessible within the tool (not just downloadable).
For long sales cycles, adapt reporting to track progress over extended timelines
