Q: Are "Standard Responses" only for true/false or yes/no type questions?A: Yes, it is only for dropdown-style responses. For example, Yes = True = Compliant, etc.
Q: When responses are identified and applied to a specific project after running Auto Respond, does the program track where the response was used (i.e., which projects, sections, etc.)?A: Yes! All content usage is tracked in each Q&A pair. You can see usage for Q&A pairs specifically in the content library, or you can visit your Content Usage Report to see a broader scope of usage!
Q: Is there a way to show if a match has any Alert Text in the Preview screen?A: The alert text will populate on the preview screen automatically if applicable. It will be under the question and above the response.
Q: Is there a way to get AutoRespond to look at both questions and answers when matching keywords?A: Yes! It will look through both, but you may need to lower your Match Confidence score to ensure it looks through the answer more thoroughly, as it prioritizes the question.
Q: Also, does AutoRespond take into account Related Words?A: It does! Creating Related Wordsets is a great way to improve the matching capabilities in Auto Respond.
Q: Is Auto Respond looking at just the keywords in the question or the question/response, or both?A: It is looking for keywords in the questions. EDIT: It will also search in the answer, but you may need to lower the confidence match if there are no keywords in the question itself.
Q: To confirm, if you choose the response via Auto-Respond, will it bump up that record confidence score? What if we use Recommendations as well? Will that count?A: That is correct—any usage of content will track towards that prioritization of content matching. It'll always look for keywords first, but it will factor in content usage to determine which answer is best. Applying content via the Rec Engine, Auto Respond, AI, or even from the Content Library directly will boost that use count number!
Q: If we have bids with different response headers, but the question is the same or very similar, do we add all the Response Headers? For example: Vendor Response is one, and another is Availability. The answer is the same. So under Vendor Response header it is "Yes" and Availability is "Yes."A: If possible, it is best to keep all answer headers consistent. So keep everything in the library as "Response" and have your answer headers marked as Response in the project. This can be understandably challenging if that answer header is key in guiding your authors to answering the questions. If that is the case, then apply the appropriate answer header and then lower your match confidence score on the auto respond run. Check out the course on Response Headers.
