How do you motivate users to keep the content updated?
I love this RFPIO article with suggestions on how to spark engagement and interest from your SME's:
I would encourage the proposal team to do the majority of the heavy lifting prior to getting SMEs involved. IE, making sure the content library is free of duplicates and unused data. From here, setting up and assigning them review cycles, and encouraging them that RFPIO will be the "single source of truth" for their organization. Driving home the sentiment that 20 people will not come to them once the content is reviewed to ensure that it is usable. By completing their review cycles, they really will maximize their time they get back.
Absolutely love this article! In my experience helping clients engage their SMEs, Tip #2 has always proven to be the most impactful. By narrowing the focus to the specific tasks/actions you need your SMEs to complete, the easier it will be for them to get started in the platform.
Keep bugging them!
We have offered to hop on a call and review the content with them. Sometimes it's just that they are swamped and don't think they can make the time.
I do campaigns. Emails to the SMEs to remind them we need their help. Then ask for feedback from the ones who have completed their reviews. I've used the below image as one of those campaigns.
Once they realize that having updated content in the Content Library helps others get it, then they stop getting people reaching out to them for the content - they will update it! Good luck!
