Response Field

We typically have multiple answers within a Q&A pair. We decided a while back to change the "Response" field to Option 1, 2, 3, 4, and so on. It's a royal pain in the neck to maintain. What do you do? Keep it standard? Change it? (see the yellow highlights)

Also, for the green highlight, to specify that an answer is specific to something (in this case, the answer is only for direct mail creative services), do you add the text above the answer?

We have one response per question, I can see how maintaining this would be extremely difficult. We do use for notes/explanations. It would be nice if you could tell which option is used the most...

When one answer changes, do they all change? Could you separate the questions and use tags or collections?

@ElaineC - I never even thought about knowing which one is used the most. We are losing that by the way we are doing it now. Oh no!

We've changed the "question" to a topic. So we can have more than one answer. What types of Collections do you have? And would having a tag of "long answer" help people?

When 1 answer changes, not all do. Depends on what the change was about.

@Tiffany Ramos We have one product, multiple use cases but one product so for now we have one Collection I use to hide items that may be confidential, or I need to research; only B&P has access.

Maybe you could use Collections for the specific items (green highlight) you mention and then have one answer instead of multiple?

Maybe you could use the "Topic" as a Tag so when you search the Tag, you could have multiple returns, Short, long? With them separated you could identify the usage...

Visa Versa, use a Collection for the Topic and Tag for Green highlight I'm not sure which would be better for your situation.

There is a way to link related questions which could help with updates, but I haven't ventured there yet.

Hi @ElaineC and @Tiffany Ramos this is such a great discussion, I had to chime in! Since Response Headers play into our Recommendation results in Projects usage, we try to mirror client language when it makes sense to do so. Specific collections are more fitted towards Auto-respond, so we certainly do not mess with those headers. In other use cases, we do include Short and Long Response, Alternate Response, etc. I also like to keep it to 3-4 options or less and if there are more than two options, it's spelt out as to why in the Answer Header (XYZ Value Proposition - Short Answer).

Also, you can filter the library by response headers (screenshot below) and can bulk replace a specific Answer Header if needed, which is SWEET beans (this is under Bulk Options, Answer, Response Header).

@Leah Morgan - You have intrigued me. Let me start with the first thing you mentioned.

"Specific collections are more fitted towards Auto-respond." Do you mean you have a collection (or more than one) that you accept the Q&A pair as is so you can use it for a (let's say) security request? Where you see the same question over and over again?

This blows my mind, and I don't know why I never saw it this way before.

Second, I really like your way of changing the Response Headers. Right now, we only have "Option 1, Option 2, Option 3," and so on. I'm going to make a recommendation to make this change. Thank you!

I follow a similar approach to Leah's - the response header defines the purpose of the variation (i.e. long answer, short answer, compliance answer, etc.). That way when mapping the project, I can match the answer header to the type of response I want to pull in. This will help with auto-respond picking the right answer.

Beyond that, the preferred/most frequently used option is the first choice. If I have a compliance answer (yes/no) and a narrative answer, the narrative always goes first so that users can preview the narrative response.

I find as a user as well as with my customers, paying attention to the response header naming conventions and curating specific response types can really pay off. But it does take a little more effort to maintain.

I also like the approach Leah mentioned to having a way to filter specific content for standardized questionnaires (collection, tag, etc.). That way I know I am getting the right content every time when I respond to those.

The short answer to your question re: specific collections, is YES. You are spot on that a good opp for this is security questionnaires. My humble take is it all depends on the magnitude and usage opportunity. Could you achieve the same thing with specific project name(s) or tags within a collection? Yes, but you'd need to filter it out when working on questions, response headers, etc.

In our use case, the collection being completely separate from it's parent collection makes the most sense at this time due to the difference in response approach and sheer volume. We recently ran auto-respond against this collection and auto-respond clocked caught 95% of the responses! Pretty ground-breaking.

Last random thought on response headers for today.. You can configure your response headers in Projects (by default "Response"). Let's say the value prop for X proposal is Y. You could configure the X project's response headers to "Value Prop Y Response" if you had response headers in your library for that content that reads the same. I am not sure how big of an impact it would provide on the algorithm out the gate, but should take the response headers into account.
