Seeking Best Practices: SME “Visibility-Only” Access (No Required Actions)

Hi everyone! Our team is looking to learn how others are handling SME visibility within projects.

In some cases, we want SMEs to have visibility into specific Q&As or sections so they can stay informed and provide input (via @mentions , comments, for example), but we do not want to assign them as Authors or Reviewers since those roles come with required actions (for instance, completing tasks or checking boxes).

 

Ideally, this would function as a “visibility-only” role where SMEs are accountable for reviewing content but are not required to take formal action.

 

We have considered options like Guest access (not ideal for internal users) and white-glove reviews, and are looking for a more streamlined approach.

 

How is your team managing this today?
Any processes, workarounds, or best practices would be greatly appreciated.

Hi Tiffany!

If the SME has the role of Team Member, you could add them to the project without assigning any specific tasks, such as Author or Reviewer.

They will be able to access the project, but they will not be able to answer or review questions unless they are explicitly assigned to those items.

A good approach would be to use Comments when their input is needed. Comments allow the team to @mention the SME and ask for guidance or clarification without assigning them ownership of answering or reviewing the question .
