Purpose:
To enable teams—particularly E&—to maintain consistency and efficiency in project tracking by allowing the integration of their existing Excel-based project tracker within Responsive, along with enhancements to the task list structure for better alignment with their tracking needs.
Background and Current Limitation:
- The platform currently provides system-defined tasks and supports task templates that can be assigned to projects.
- However, E& uses a detailed Excel-based tracker that captures multiple activities, subactivities, and progress statuses in a customized format.
- At present, Responsive does not support importing or mirroring such structured trackers, which forces teams to manage tracking outside the platform.
- This results in disconnected workflows, duplicated effort, and limited visibility into project progress within Responsive.
Proposed Enhancement:
Enhance the project-level tracking capabilities by allowing:
- Excel Tracker Upload and Integration:
- Allow users to upload an Excel tracker into the project workspace.
- Map Excel fields to Responsive task fields where applicable.
- Maintain the Excel structure for familiar viewing and editing within the platform.
- Redefined Status Column:
- Customize the status column in the project task list to align with the status categories used in the Excel tracker (e.g., Not Started, In Progress, Delayed, Completed).
- Allow administrators or project owners to define and manage these status labels.
- Comments/Notes Section:
- Add a Comments or Notes field directly within the task list to capture quick updates, remarks, or context related to task progress.
- Ensure comments are visible and editable by authorized users to support collaboration.
- Subtasks Under Parent Tasks:
- Introduce subtask functionality beneath each parent task for better breakdown of activities.
- Allow subtasks to inherit or override timelines and ownership from the parent task.
- Display subtasks in an expandable hierarchy view for clarity.
Expected Outcomes:
- Consistency Across Projects: Ensure E& can replicate their Excel tracking structure directly within Responsive, maintaining their established workflow.
- Improved Visibility: Provide a unified view of project activities, statuses, comments, and subtasks without relying on external files.
- Enhanced Collaboration: Enable users to communicate updates, add context, and track dependencies directly within the project task list.
- Better Control and Customization: Give teams the flexibility to define task statuses and manage task hierarchies suited to their operational model.
