Dawn, the Quality and Regulatory Affairs Specialist from Infor, expressed the need for a more streamlined process to handle contract management within the Responsive platform.
She described the current challenges of piecing together different sections of a contract, with team members working on various parts and the difficulty in keeping track of the most current version.
Dawn suggested a feature where the contract can be uploaded and team members can be tagged to update their respective sections, with the changes reflected in real-time.
- The goal is to enable multiple team members to access and edit the contract document in a centralized location, with changes reflected in real-time.
We acknowledged Dawn's request and proposed a multi-step process to address the need for better support for contract documents within the tool.
The enhancement request for the ability to process redacted contracts, highlight sections, and assign subject matter experts (SMEs) to respond to specific sections.

@Abagail Golebiewski Few questions and clarifications

I assume they have boiler plate content such as Exec Summary, Product Overview etc in the Content Library? Correct?
Do they want to build narrative proposal with just sections? I assume there is no Q&A to respond. Please confirm?
If my assumption 1 and 2 is correct, can we recommend them to use proposal builder?
Even in Response Project, they can achieve this by having a Project Template created with list of sections. Then they can create a project with that template where all the sections within the template will be imported into the project. Then SMEs can be assigned to each section. Did they try this?
Do they want to have G-doc like concurrent editing where more than one SME will be updating a section? If yes, then none of my above workarounds will meet their need. Can you confirm?
Can you also attach sample docs?

@Khalees V - The customer has shared their current workaround that they are doing within Responsive:

"If you look at the project Test – Vendor Disclosure, you will see that we uploaded a contract as an entire description.

The highlighted areas are for different teams/SMEs that we need to collaborate with on the contract.
Our work around is to tag the team/SME in the comments section and tell them what color section they need to review and/or edit.
Ideally, we would like to highlight the colored section and then tag it with the SME or even a guest, to respond to (like we do in a Q&A in a project). Instead of adding multiple comments.
The tagging of a section would also allow the reassignment, in case the wrong team was assigned, etc..
Having the one source document in the tool where all stakeholders can collaborate on a contract is very important to us.

We would like the tool to do something like SharePoint or TEAMs, where you can have a couple of SMEs collaborate on the document but not necessarily import, tag, etc. like you must do on a project."

They are essentially looking for contract management functionality that can support review/redlining of the contract.

They are open to walk through what they are looking for with someone from Product for discovery, if you would like!
