Download document package for archived projects

This is Denton's new idea that was initially suggested in May 2024. My client separately submitted this as a suggestion, which I am not able to link here but took a screenshot for reference. This suggestion is critical, please see below:

The current "Download Package" functionality is NOT what is desired. It does not meet their needs.
Dentons does not want to have to export the previously exported project and documents to view them outside of Responsive.
Dentons wants to be able to view all project-related documents (including the uploaded project) within Responsive AND within the Archive queue of archived projects.

Dentons, a key strategic customer (70k ARR), is experiencing productivity challenges due to the above. It's important that we review this request to ensure their satisfaction and maintain our strong partnership. It would be great if the product team can review this request/feedback and to provide whether this is something we can implement or not and if so, when.

When they say "view all project-related documents (including the uploaded project)"
1. What do they mean by project releated documents. Is it the docs in the project doc tab?
2. What do they mean by "uploaded project".

Can you please clarify?

On whether we will be implementing this feature or not - This looks like a niche request and not broadly applicable for all our customers. I will first get the requirements clarified with you and then share my thoughts on whether we will be doing this or not.

Can you also confirm if not doing this feature will lead to Churn?

To build on our phone discussion this week, the client has expressed a significant concern. They need to import 500 historical projects into the platform, and mapping all of these manually is not feasible. Their feedback was: "Quite frankly, it seems as though Responsive has missed a huge aspect by not allowing access to documents in the archived view. You should be able to view more than just the project details of a project that was uploaded, rather than having it ‘run’ through Responsive."

Additionally, when the client demonstrated to her CMO that we need to unarchive a project to access the “documents” tab and then re-archive it, the feedback was similarly negative.

What specific additional information or questions should I ask the client to better address their needs and concerns? @Khaleeswar

2e. Are they requesting to view all documents from all the archive projects to be viewed at once? Kind of consolidated list of all documents in one screen? or by individual project?

Client got back to me and said the questions we posed did not feel relevant to their initial feecback. They want to be able to download documents from an archived project without having to unarchive it first.

They'd like to be able to come to their archived projects screen and click on the three dots and see a button that basically says, “Download documents'

The ability to do this is only currently possible for projects that were mapped using Responsive (see following screenshot).

That is all they are looking to do. Hope this makes sense.

@Abagail Thanks for sharing more details with screenshots. I understand they want to download the documents added/uploaded in the "Project Documents" tab. My Question is to know why they want to download those documents. I am trying to understand the problem for which they have asked for "Download Documents" feature in archived projects.

Also, is this a critical/show-stopper feature request for them?
This is one-off/niche request. What if we are not implementing it this year and tell them we will plan for next year if there is a similar ask from our other Customers?

Thanks for getting back to me.

This is a show stopper request for them. They've brought it up a few times to both myself and PS. For them, it's the time savings aspect, they have 500 historical projects they need to put into the platform and there's is no chance anyone is mapping and doing all of that on their end. The clients exact words.

This is a larger Enterprise Account, 70k ARR, and their CMO (an executive team member) also shared similar feedback.

Client had communicated theyve had countless team members come to them this week alone asking if there is a work around for having to unarchive a project in order to see the documents. Their key priority is to have a historical view of completed projects integrated into Responsive. They want to avoid searching through multiple internal sources and are counting on Responsive as their single source of truth.

What recommendations can we provide to meet their needs?

@Abagail The workaround we can recommend is to save the documents in Content Library then use Collection or Tag to organize those files accordingly.

That said, ability to have one consolidated view of all the documents used in the completed project is one-off request and we will not be able to implement it. We can consider if we have a similar ask from other customers in future.
