Curious to hear if your organization is affected with Responsive no longer offering unlimited licensing. @Renee Cyprian @Lyn Garner
Yes, this has affected our organization; we had to reevaluate our user roles and decrease our user count.
@JJ Torres - How did you ultimately choose who has access and who doesn't?
@Stephanie Logan Ultimately, we cross-referenced the activity log and the names of the users. So, for example, when we had a user that hadn’t logged on since 2020 or ‘21, we deactivated their license. Helped us carve down the number significantly.
Makes sense. Were any of those users assigned as Owners of content? If yes, how have you handled keeping their name visible within Responsive?
If I recall correctly, when an owner of content is deactivated, Responsive should give you the option to transfer that content to an active user.
@JJ Torres confirming you are correct. @Stephanie Logan you will see the notice below and be able to select the best option.
If you choose to reassign, you will see additional options:
Removing the unlimited users has affected us as well. We have to have user accounts for all users who submit Intakes but don't use the tool from a content perspective. We were told we wouldn't have to have accounts for 'Intake only' users, but that has turned out to not be the case. We've tested having someone submit an Intake without a user account and it's not possible. The form doesn't even populate in SF.
The new licensing model as a whole has been a struggle to adjust to. I miss the days of paying for a package of features that includes a certain top end # of projects.
@DeeAnn Powers, I'm sorry to hear that you encountered these issues. I’ve asked @Ian Bartlett to reach out to help you resolve this issue and to make sure you can use the product in the way that best serves your organization’s needs.
We strive to make collaboration easy in Responsive. Under the new licensing model, “Intake only” users are not part of the paid user count. However, users need individual accounts in Responsive to submit intakes. Your CSM will work with you to set this up so that these users do not get counted as paid users and ensure that everything is working correctly.
