Tool Tip | Past Project Search

We’ve all been there: There’s a question in a project that you know you’ve completed before but you just can’t find the answer in the Content Library. Have I answered this question before? Did I dream it up?

And then it hits you: The answer is in a different project you just completed! But which one? Is there a way I can go back and search through my past projects to find it?

Yes there is! With the Past Project Search feature you can search through past projects while working on a new project!

Thanks! We use Past Project Search. One struggle we have is if we know we want to search only a specific project or projects, it seems that every time we go to a new question, we have to select the projects we want again. Is there any way around that?

Love, love, love the Past Projects search. It's so helpful for us particularly as we don't save all of our answers to the Content Library and sometimes a good answer gets missed.

Hey @Sarah Biskup! There's a couple different options to save your search settings within a Project.

Within a Project, you can set search preferences at the Project level.
You can use the toggle to save the search Preferences.

Thank you @Helene Halliday for the video and clarity! I still don't see this working though specifically for the past project search option. When I toggle from Search from Content Library to Search in Projects, I lose the freeze filters button. That's only on the Search from Content Library option.

It looks like if we set the projects we'd like to search from in Project Settings, it doesn't honor that when we do Search in Projects. I hope this makes sense!

Hi @Sarah Biskup! My mistake, I was coming from the angle of searching with the Content Library!

I created another video for you specifically in Past Projects to showcase what you should be seeing. If the filter of Past Projects isn't sticking for you, we might need to loop in Support!

@Helene Halliday Thank you! Yes, that does make sense and it does stay sticky for us. The problem for us with it is we go to past project search and then we select which specific past projects we want to search through. We have 3 main solutions we sell, so if the RFP is for solution B, I'm filtering the past project search to only show past projects that are solution B.

When I go to the next question, it keeps the past project search but we have to go back to the project name search and research/reselect all of solution B's projects. It's rare that we want to search through all past projects, because the response to the same question can differ whether it's solution A, B, or C.

From what I understand, if we set it to solution B's projects in Project Settings, that only limits what it looks for in the content library - but not past project search. I hope I'm making sense! Thank you for your insight!

It doesn't look like you can freeze the filters for the Past Project Search the same way you can if you were searching through your Content Library. I'll go ahead and submit this as an enhancement request now. Please feel free to submit it as well using the "Submit and Idea" button in the bottom lefthand corner of your instance.
