Going from RFI to RFP

Do you use the same Project or open another?

I added to the RFI Project to keep everything together for this Opportunity, but the original Section is there. Fortunately, it's only one Section, but I have to remember not to Export it and resend. 😅

Is there a way to Inactivate a Section?

What about attachments for that Section?

Is opening a new Project a better idea?

Hey @ElaineC! I have a couple of notes on your inquiry.

To start, I would recommend keeping everything together in one project. It will help with your reporting and ensure everything is in the right place.

Based on your note, did the document change from a RFP to an RFI OR was a new document added (RFP + RFI)? One of the latest releases, you can update documents if they change and they should affect the Sections.

In terms of individual Sections, you can always delete section you do not want OR within the Export options, you can deselect Sections you do not want to export.

@ElaineC Definitely consider your reporting and "downstream" needs if deciding to start a new project or not. I'd say reporting needs aren't always black and white, so consider if it's important to track things like different completed dates for the RFP vs the RFI, the duration it took to complete, etc. If better to track those independent from RFP to RFI, perhaps new a new project would serve you better.

It sounds like you're working within the best practices by selecting only the sections you want to export, when you go to do further exports after the initial RFI.

We typically create a new project as we like to track project-specific metrics such as turnaround time, number of projects completed per week, etc. and there's often a decent gap between the RFI and the full RFP release. I personally find it helpful to have the new set of questions completely separate from the old ones in terms of the Sections view, with the ability to refer back to the previously completed RFI files manually. We also store customer documents in project-specific folders on SharePoint, and each RFP/RFI might be tied to a different Salesforce opportunity for the same customer so it helps to have separate projects!

I have always done the RFI and RFP as separate projects. I find it easier to track/report on the work that way. Plus, our RFPs usually arrive at least 3-4 weeks after the RFI, and I've already archived the RFI project.

@ElaineC we would create a new project for the RFP. In our industry/experience the RFI is one event and then several weeks if not months later the RFP project is issued/created. This allows us (for how we report) to keep events separate and see the time effort we invested for the different projects. Also, as you mentioned it would prevent accidently sending one section from the RFI with the RFP upon export.
