Managing SME Responses

Hi all! We are new to Responsive, and we wanted to see how the Responsive community manages responses from subject matter experts. How do you know once a subject matter expert "signs off" on a response, especially if they don't need to change a response that may have already been populated for them (i.e., they are ok with the response and there is nothing they need to change). I know they can click to complete their section or complete their work, but how do I see at a question level that they have completed their review? Thanks in advance for your advice!

Apologies for the delay! Great question, and welcome to Responsive!

Responsive provides detailed visibility into subject matter expert (SME) sign-off at the question level, so you can easily see when a response has been reviewed or approved.

Here’s how it works:

• Assignments: SMEs can be assigned to individual questions, entire sections, or the whole project.
• Review and Sign-Off: Once an SME reviews a question, whether they make edits or simply confirm the response is correct, they can mark it as Reviewed.
• Review Workflow Options: Responsive supports Any, All, and Sequential review workflows, so you can tailor the approval process to your team’s structure.
• Tracking Progress: You can monitor review activity in real time from the Project Dashboard or the Project Summary widget, which display statuses like Not Started, In Progress, Pending Review, and Completed.
• Visibility and Audit Trail: All reviewer activity is logged and can be exported for reporting or audit purposes.
• Automation and Notifications: The Quality Check Agent can automatically flag incomplete or unanswered questions. Reviewers and project managers can also enable the “Question Review Completed” notification (added in the July 2025 update) to get alerts each time a question is marked reviewed.

With these tools, you’ll always have a clear view of which responses your SMEs have signed off on, right down to the question level.
