Wolters - Enhance Content Library SME Assignment, Review Notifications, and Tag-Based Access Control

Enhancement Request Description:

The customer would like to enhance the Content Library to improve content ownership, governance, and periodic review management.

Requested Enhancements:

1. SME Assignment for Q&A Pairs
   • Provide the ability to assign an SME (Subject Matter Expert) to a Q&A pair using a custom field. This will establish clear ownership and accountability for periodic content reviews.
2. Automated SME Notifications
   • When an SME is assigned to a Q&A pair, automatically send an email notification informing them of the assignment.
   • Support configurable periodic review reminders (e.g., every 6 months) by automatically sending reminder emails to the assigned SME when the review date is due.
3. Tag-Based Access for SMEs
   • Allow administrators to restrict SME access to only the tags or content areas relevant to their responsibilities.
   • Currently, SMEs must be granted broader access than necessary, making it difficult to enforce least-privilege access and content governance.

@vivin+1 I would like to understand/recommend following things

1. Already there is a system field to assign owner. Why the customer is asking for a custom field to assign owner?
2. Notifications - For on demand review the notification will be sent immediately to the reviewers. For scheduled review, the email and in app notification will be sent based on task creation date set in org settings on a daily basis. On top of this, why would they need an additional notification and did the customer explore these options?
3. Instead of tags, can we recommend the customer to use collections? Collections is meant for restricted visibility.
